Travel Funding Procedures and Guidelines
- The CSLA Faculty Travel Committee will meet three times each year to consider applications, in October, February, and May.
- The application form will be sent to all departments each September for distribution to their faculty and will also be available for downloading from the CSLA website.
- The May meeting of the committee will consider applications for travel during the coming months of July, August, September, and October; the October meeting will consider applications for travel during the coming months of November, December, January, and February; and the February meeting will consider applications for travel during the coming months of March, April, May, and June. The deadlines for applications to be received by the Dean’s office will be the first day of the month in which the meetings occur, as follows:
| Application Deadline | Dates of Conference Travel |
October 1 February 1 May 1 | November 1 - February 28 March 1 - June 30 July 1 - October 31
|
- Faculty must submit applications to their department chairs prior to the dates above. Department chairs will then submit to the Dean’s office all the applications from their departments, in ranked order, by the indicated deadline.
- In addition to rankings by department chairs, the committee will give priority to
(a) junior faculty over senior faculty
(b) tenure-track/tenured faculty over research faculty, visiting faculty, and lecturers
(c) individuals who are making substantial contributions to major academic conferences
(d) individuals who do not have sufficient travel funds available from grants
(e) individuals who have not yet received a full share of CSLA travel funding in the same fiscal year. In no case will funding be provided to graduate students.
- Funding for local conferences will be limited to conference registration. Funding amounts for overseas conferences may be slightly higher than for domestic conferences.
- Funding may be provided to offset the costs of conference travel, accommodations, and registration. Funds are normally not available from CSLA for other kinds of conference-related expenses, such as meals.
- After each committee meeting, faculty who have applied for travel funds will be notified by the Dean of the status of their applications.
- Faculty who receive an award must submit travel vouchers (signed by their department chairs) and receipts to the Dean’s office within two weeks after completion of their conference travel in order to receive reimbursement. No money will be paid until this step has been completed.
- Funds may be readjusted if a faculty member’s actual receipts are less than or different from the estimated costs submitted in the application.
